1. Who controls your information
Workforce Connect Ltd is the controller of personal information used by Floorlayer Connect. We are registered in England and Wales under company number 17461709. Our registered office is W1, 45 Albemarle Street, Mayfair, London, W1S 4JL. Privacy enquiries can be sent to enquiries@floorlayerconnect.co.uk.
2. Information we collect
Depending on how you use the platform, we may collect:
- identity and contact details, including name, email address, telephone number and location;
- account and security information, including login records and password data stored in protected form;
- floorlayer profile information, including photograph, van photograph, skills, experience, work types, travel radius, rates and availability;
- company information, contacts, work requirements, operating locations, geographic coverage, expected and current platform use, dates, rates and account users;
- company-plan, founding-access and admin-review records, including the information and notes used to confirm eligibility and classification;
- match, introduction, shortlist, message and activity records;
- subscription, transaction and billing records supplied by or received from a payment provider;
- support enquiries, complaints, reports, consent records and correspondence;
- technical and security data, such as IP address, device/browser information, timestamps and essential cookie or session identifiers.
Please do not provide special category or highly sensitive information unless we specifically request it and explain why it is needed.
3. Why we use personal information
We use personal information for the following purposes and lawful bases:
- Contract: to create and administer your account, provide profiles, requirements, matching, introductions, messaging, company-plan classification, founding access, subscriptions and support you request.
- Legitimate interests: to operate, improve and protect the platform; review organisation locations, coverage, floorlayer demand and expected monthly adverts; track monthly adverts posted and agreed usage allowances; prevent fraud, account splitting, promotional misuse and other misuse; understand service performance; retain an audit of admin decisions; manage complaints; and communicate important service information. We consider the impact on members before relying on this basis.
- Legal obligation: to meet tax, accounting, regulatory, law-enforcement and other legal duties.
- Consent: where we ask permission for optional marketing, non-essential cookies or another specific use. You can withdraw consent at any time.
We do not use solely automated decisions that produce legal or similarly significant effects. Company registration uses published rules to suggest a provisional plan, but an administrator can review and correct the organisation information and confirms the final classification. Matching suggestions assist members, but members decide whether to make contact or work together.
4. Profile and requirement visibility
Floorlayer profiles and company requirements are made available only as needed to operate the member service and matching process; we do not publish an unrestricted public candidate list. Information shown to another member may include enough detail to assess a potential match. Direct contact details may be shared when the platform enables an introduction or you otherwise choose to provide them.
5. Who we share information with
We may share information with:
- other registered members where needed for matching, introductions and agreed platform functions;
- trusted service providers supporting hosting, email, security, analytics, customer support, payment processing and professional advice;
- regulators, courts, law enforcement or other authorities where required by law or necessary to protect rights and safety;
- a purchaser, investor or successor if our business or assets are reorganised or transferred, subject to appropriate safeguards.
Service providers may use information only under our instructions and appropriate contractual safeguards. We do not sell personal information.
International transfers
If a provider processes information outside the UK, we will use a lawful transfer mechanism and appropriate safeguards, such as UK adequacy regulations or approved contractual clauses.
6. How long we keep information
We keep information only for as long as reasonably necessary for the purpose collected, including legal, accounting, security and dispute requirements. In general:
- active account, profile, requirement, match and introduction records are kept while the account is open;
- closed-account records are normally deleted or anonymised within 12 months, unless a longer period is needed for a dispute, safeguarding, fraud prevention or legal duty;
- financial and transaction records are normally kept for six years after the relevant accounting period;
- support, complaint and consent records are normally kept for up to six years where needed to establish what was agreed or handled;
- security logs and unsuccessful enquiry data are kept for shorter periods appropriate to security and troubleshooting.
You may ask us about the retention period applying to a particular record.
7. Security
We use proportionate technical and organisational measures designed to protect information, including access controls, secure connections, input validation, protected password storage, backups and monitoring. No online service can guarantee absolute security. You should use a strong, unique password and tell us promptly about suspected misuse.
8. Your data protection rights
Depending on the circumstances, you may have the right to ask us to:
- give you a copy of your personal information;
- correct inaccurate or incomplete information;
- delete information;
- restrict how information is used;
- provide certain information in a portable format;
- stop processing based on legitimate interests;
- stop direct marketing; or
- review a qualifying automated decision.
You can withdraw consent at any time without affecting earlier lawful use. Rights are not absolute, and we may need to verify your identity. We normally respond within one month.
9. Communications
We may send service messages needed to operate your account. We will send optional electronic marketing only where permitted by law. You can unsubscribe using the link in a message or by contacting us. You may still receive essential service and security notices.
10. Children
Floorlayer Connect is intended for adults aged 18 or over and is not directed at children.
11. Changes to this policy
We may update this policy when our service, providers or legal obligations change. We will publish the revised date and notify members of material changes where appropriate.
